Executive Administrative Assistant (1 Year Term)

Type: Full-time (35 hours a week) – 1 Year Term
This is a one-year term position, with the possibility of extension or continued employment. Strong candidates may be considered for future

The Winnipeg Symphony Orchestra (WSO) is a dynamic force serving Manitobans with excellent musical opportunities and experiences. The WSO produces more than 60 events and concerts per year. The WSO actively engages in program development, education and outreach, major concert series, and the Winnipeg new Music Festival with the objective of delivering artistically excellent symphonic music. The WSO operates with a staff of approximately 60 musicians and 24 full-time and part-time administrative and production personnel. It is a non-profit organization with a Board of Directors.

Position:
Reporting to the CEO, the Executive Administrative Assistant is responsible for providing administrative support to the CEO, Executive Director, Music Director, Board of Directors, stakeholder engagement and other strategic initiatives.

Job Description:
1. Manage the CEO’s, Executive Director’s and Music Director’s calendars, including scheduling appointments, meetings, and travel arrangements.
2. Prepare and organize board, committee and management meeting materials, agendas, and presentations. Organize catering when required.
3. Attend meetings, take minutes, and ensure follow-up on action items.
4. Handle confidential information with discretion and professionalism.
5. Draft, edit, and proofread correspondence, reports and presentations.
6. Facilitate communication and collaboration across departments.
7. Coordinate logistics for Board Meeting, including preparing board meeting packages and managing RSVPs.
8. Responsible for maintaining WSO Bylaws and maintaining Board records, as well as coordinating WSO Annual General Meeting in conjunction with the Board Chair and the Executive Director.
9. Provide Administrative support to the WSO’s Orchestra Personnel Manager, including coordinating auditions and tracking leave requests.
10. Provide Administrative support to WSO’s Development Department including tracking granting deadlines.
11. Maintain and organize electronic and paper files.
12. Assist the Executive Director with special projects, research, and initiatives.

Qualifications:
1. Minimum of 1-2 years experience in a related position, preferably within a nonprofit organization.
2. Highly proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat Pro.
3. Strong organization and time management skills, with the ability to prioritize and manage multiple tasks.
4. Excellent written and verbal communication skills, including editing.
5. Proficiency in basic graphic design on a platform like Canva is a bonus.
6. High level of integrity and the ability to handle sensitive and confidential information.
7. Strong interpersonal skills and the ability to work effectively with diverse groups.
