Position Summary:

The Student Services Manager is responsible for the coordination and delivery of internal programs, assisting students, faculty and community members with general inquiries, overseeing student services functions, and providing communication services to students/families, staff and faculty members.

Duties and Responsibilities

Student Services & Registration:

  • Ensure exceptional student and customer service is provided in all areas
  • Manage student services function through training, scheduling, supervising, of PT staff; advises and recommends on hiring and firing.
  • Oversee accounts receivable processing and collection of tuition revenue payments
  • Process withdrawals and transfers
  • Ensure student and faculty feedback and program ideas are communicated to the Programming Director
  • Manage the registration function for individual and class instruction, including processing and disseminating information
  • Manage communication with students/families

Faculty Services:

  • Oversee faculty scheduling changes, additions
  • Ensure faculty teaching schedules are accurate and up to date
  • Ensure consultation procedures are being followed and that all potential students are contacted
  • Provide liaison services between faculty/students/Student Services staff
  • Manage communication with faculty
  • Manage and ensure Faculty attendance and lessons taught are up to date including make-ups
  • Consult with and cooperate with Finance Administrator for Faculty payroll and attendance

Program Coordination:

  • Ensure all equipment and instruments are moved and set up as required
  • Coordinate student recitals, workshops, concerts, special events and scholarship auditions as required

Scholarship Program:

  • Maintenance of policies and procedures, registration and application forms and all other administrative forms and reports
  • Ensure the distribution of scholarship applications and promotional materials in a timely manner
  • Create scholarship audition schedule
  • Plan and coordinate Scholarship Recital

Office Management and Administration:

  • Ensure maintenance of all office equipment and furniture including photocopiers, printers, postage meter, P.O.S. machines, etc.
  • Purchase and maintain all office supplies
  • Administers use and distribution of studio keys
  • Assume responsibility of on-site Duty Manager in the absence of the Executive Director
  • Create and oversee maintenance of studio scheduling

Fundraising

  • Encourage and participate in the fundraising culture of the MCMA

Other Duties as Required:

  • Participate in staff meetings as requested
  • Provide administrative support to Senior Management
  • Promote MCMA programs to our students and the community
  • Other duties as assigned

Qualifications:

Post-secondary education in arts administration, office administration, program coordination, music or a related field
Knowledge and understanding of the culture of music education and ties to the music community in Winnipeg and Manitoba would be considered an asset
Excellent administrative skills; including project planning, directing, delegating and fostering an environment of service and accuracy
Excellent problem-solving skills
Team player/builder in a professional service environment
Excellent interpersonal skills
Excellent time management and organizational skills

Excellent verbal and written communication skills
Program development, planning, implementation and evaluation skills
Proven ability to multi-task and manage multiple projects
Good understanding of the not-for-profit culture
Excellent computer skills, with specific proficiency in the Microsoft Office Suite of products including Word and Excel
Experience with MindBody would be an asset

Experience:

Minimum of 2 years experience in a not-for-profit environment, with emphasis on program coordination and administration
Experience in dealing with the public in a client service orientation
Experience working in a computerized office environment

Wage: $25/hr for 25 hrs/week

Hours of Work: The MCMA follows an Academic Calendar September -June with office closures during winter break, spring break, and the during the month of July. The Student Services Manager would need to be available Monday-Thursday from 10-am-4pm* for 44 weeks August – June.  *Some flexible hours along with some evening and weekend work will be required for special events, recitals, and meetings as determined by the needs and operations of the organization.

Nature of Position:  Primarily on-site work with some off-site meetings and remote work possible.
